One of the best ways of communicating with customers is through email. That’s precisely why 67 percent of businesses are investing in standalone email marketing systems to execute email campaigns.

But are they really gaining the desired success out of it?

Experts suggest that businesses investing in standalone email marketing systems do not generate the expected success rate. What we’ve kept hearing from customers is that majority of standalone email marketing platforms do not integrate well with the business process. Synchronization between the email marketing platform and business process is a real pain.

Also, with a separate email marketing system, team suffers from data getting dispersed in multiple repositories. In moments of urgency, it takes double effort for the team to gather the information and present it in a concise way to get a 360-degree data view.

ConvergeHub has focused on all these issues and removed the loopholes with an easy and effective integration of email marketing functionality within its CRM platform. ConvergeHub, now, has all the bells-and-whistles to function as an email marketing software for small businesses.

Not just this, reports and real-time analytics is an added advantage that helps you understand the performance of your campaign better. Using this feature, you can track:

  • Number of recipients
  • Number of people who have opened the e-mail
  • Number of people who have opted out

  • Number of invalid e-mail id (if any).

How has ConvergeHub made Document Management easy?

Document Management is a key part of running any business. That helps in staying organized and process the activities faster. However, as days progress, files start to mount on the desks of the executives. Before the start of every meeting or during report documentation – employees go through endless files to find the right paper. To help with that process, more and more businesses are employing CRM with strong document management capability. Learn how CRM app ConvergeHub fits the bill perfectly here.

Data suggests that a business loses 25 percent of its time on merely following up on the contracts send to the clients? Not only does this hampers the team productivity (who could have utilized the time on other constructive tasks),  but also puts a brake to the lead to deal conversion process.

Jim Folley, (business consultant and CRM blogger) states – ”While problems like ineffective inventory management and ERP systems catches the eye of all, what businesses mildly ignore is the damage caused to the company ROI due to a prolonged and slow document and transaction management process.

A permanent full stop can be put on this problem – if only businesses get the power to conveniently receive/send/sign documents in minutes and process deals faster. Only if they can automate and streamline all agreements in one system and accelerate the contracts turnaround time.”

Sounds an excessive idyllic situation. Not anymore!

The DocuSign Advantage

ConvergeHub (2014 CRM Idol Semi-Finalist) has come up with an easy and effective eSignature and transaction management capability within its next generation Customer Engagement Management solution.

It has partnered with world-renowned E-signature App DocuSign to provide a one click document creation, sending, and signature process. The combination of DocuSign and ConvergeHub has helped the users digitize their business by making record-keeping totally paperless.

How ConvergeHub lets you import data in minutes?

Every business is investing in a CRM to generate more leads, close more deals and nurture customer relations. However, all this only happens when it is a robust CRM system integrated with all the data. But what if the CRM has a complex data import process? What if the team takes days to gather data from multiple sources, centralize it into a file and then manually import it into the CRM? CRM application ConvergeHub provides an automated process which make data import just a matter of few minutes. Learn how.

Data importing into the CRM is not a one-time affair. On regular intervals, you will require feeding data into the CRM repository from multiple sources. Do you agree spending hours on simply transferring data from your CSV file to CRM?

Data import into the CRM is a crucial point – that needs to be heard and addressed before selecting the CRM. It doesn’t matter if you’re a 20 person small firm or a 1,000 person global organization: time spent on importing the data into the CRM can be detrimental to your team’s productivity.

FIVE Step Data Import with ConvergeHub

Leading CRM for small business – ConvergeHub (CRM Idol 2014 Semi-Finalist) understands the importance of quick data import and thus has come forward with an easy process. In five simple steps, you can import your leads, contacts, accounts and deals to ConvergeHub database.

That’s not all. Some of the additional features include:

  • Duplicate checking intelligence to eliminate duplicate entries and ensure data quality
  • Sharing of the imported data across the organization
  • Customization of the imported lists
  • Assignment of the imported contacts to marketing campaigns.

Steps to Import Data to ConvergeHub

You can easily import data from multiple sources to ConvergeHub repository. The steps below illustrate importing data from a CSV file stored in your local drive.

Step 1

Choose the field where you want to import the contacts to. Browse & load the file directly from your local drive. Select an existing list to which you want to import the file or else create a new list.

In case of multiple headers in your file, click on the ‘My File has a Header’ checkbox to ensure that the CRM maps the data according to the headers in the file.

Use the duplicate checking intelligence option and select the fields for which you want to use this feature. Notify whether you want the system to ignore the duplicate contacts or update them with the information from the list.

Browse & load the file directly from your local drive Step 2

Select the user to whom you want to assign the imported contacts.

ConvergeHub provides the option of automatically assigning the imported contacts to different agents. To avail this benefit, select the second option that is:

  • Data file contains Assigned User.

Create an ‘Assigned To’ column in the CSV file that mentions the agent name for each contact. Mention this column in the CRM. Based upon the data given in the column, ConvergeHub will automatically direct the contacts to the associated agents.

Step 3

Select the ConvergeHub field where you want the imported data to get merged into. Also set the default value for every field.

Click on ‘Remember Field Matching’ option. This will ensure that ConvergeHub remembers the field matching during the data import process.

Sales Force Automation that increases business with win rates, decreases sales cycles, and makes quotas

For any small and medium-sized business, it’s vital to invest in a robust sales force automation tool. The concept of sales force automation is to accelerate the sales process by automating majority of the behind-the-scenes work of sales. Sales professionals who are buried under the workload of administrative tasks find the time to spend on constructive tasks like interacting with leads and potential customers. Quite obvious, this shoots up the sales numbers at the end of every quarter.

For Sales Force Automation that increases business with win rates helped many from small to large business houses plan and automate the business functions. If increasing sales win rates, reducing the sales cycle duration, enhancing sales representatives’ productivity and improving revenue is what features on your priority list – then sales force automation tool should be your one stop halt.

There are multiple surveys conducted that have proved (time and again) that using sales force automation tool have removed the loopholes of the sales process and accelerated the deals percentage by no less than 36 percent.

Just in case you wonder how this happens, let’s take you to a short walkthrough on the five main benefits that the sales force automation tool offers to any business:

Five Sales Force Automation Tool Benefits:

Saving on Time

Business Data Research suggests that on an average a sales rep spends close to 50 percent of his time on administrative tasks namely – scheduling sales appointments; following-up with leads through emails, tracking contacts and updating sale opportunities.

Post the implementation of SFA program; most of these mundane tasks get automated. Sales reps get plenty of time in hand to interact with the leads and prospects. Without a doubt, when sales reps reach more prospects, it culminates into more deal closure for the company and higher profits.

Better Management

Sales Force Automation module functions as a centralized repository of all sales activities. Instead of manually gathering the sales statistics from ten different applications, sales managers get immediate access to each salesperson’s activities, sales opportunities lying in the pipeline, sales figures, customer complaints and other metrics.

In a stroke – sales leaders can gauge the monthly/weekly sales revenue. Added to this, they can proactively act quickly on real-time information.

For instance, in case of problematic areas, such as an under-performing sales representative or a bunch of cold leads clogged in the pipeline, they can proactively make adjustments to fix these issues.

Increased Revenue

Sales Force Automation stores customer orders details which benefits up-selling and cross-selling activities. For instance, using this module, sales staff can determine

  • Customers Order pattern
  • Customers’ preferences
  • Most profitable customers.

Equipped with these metrics, sales professionals can perceptibly be in a better position to up sell or cross sell to the customers. They can get an exact idea of the most relevant products or services and pitch in those subtly during making conversations with the customers.

Organized Contact Management

All the customers’ basic details (which includes name, address, telephone, email, etc.) along with their related contacts, purchases, cases and opportunities are stored in a compact way. This provides clear visibility to all contacts through a centralized repository. For obvious, scheduling appointments and follow-ups happen easily with the SFA program. Sales team finds it hassle-free to

  • Track every customer interaction
  • Track the status of all sales opportunities
  • View complete sales history.

Surprisingly, all these metrics consolidated in one section improves customer service too. So if a customer enquires in with a salesperson regarding the stats of his last complaint, sales reps do not give the timid reply that

Customer service is a different department where the customer needs to call in.

It just takes a few minutes for the sales rep to check the support ticket status and intimate the customers about the same. Not only does this improves the entire customer experience but also saves the sales professional from bearing the brunt of the customer. If required, sales rep can easily capitalize upon this favorable situation to pitch in for an up sell or cross sell.

Secondly, it also eliminates the whole concept of sales reps taking away the clients post a switch over. In any case if a sales rep leaves the company, the new replacement gets all the leads information streamlined neatly in the SFA module. So basically, there is a low ramp-up time for the new rep.

Lead Mapping

Maximum of the sales force automation modules come with easy lead mapping in the sales process. They extract the generated leads from multiple sources such as email campaigns, website visits, trade shows and outbound calls. Once done, they prompt the sales manager about the new leads available who then assigns them to respective sales agents.

Sales managers can set rules in relation to lead mapping which means that when leads get generated from one particular source (say for example website visits), they get automatically assigned to an XYZ sales rep.

When new leads get assigned, sales rep can quickly and easily view them and schedule meetings or calls.

Read further and see how your sales reps can get things done better and faster with the CRM application ConvergeHub –

1. All information in one page

Using ConvergeHub, your sales people do not have to juggle between different modules to get a complete view of any lead. Under the Leads Details section, they get to view all the data associated to the parent record. So it is one page to track everything that is related with the lead.

Other than leads’ general details, address and sales process; there is the related list in the sub panel too. From the total broadcasts done for the lead – to the products, activities and lists related to it – your reps get one place for a wholesome view to track everything that is happening with the lead. That means easy Lead Management.

Most importantly, sales reps get to add custom fields to include any other extra information in the Details section.

Example:

2. Easy entry of related records

Dealing with leads, your sales rep might most often want to associate a contact or add a task to the lead. Instead of navigating back and forth between different modules – ConvergeHub lets you perform all subsequent activities from the Leads Details Page itself.

option allows your sales reps to add Partner, Contacts, Documents, Notes, Lists, Products and Activities in 1-2 clicks. So for instance, your sales reps want to attach a document to the lead, he can instantly do it by clicking on Library under the Add Sub-Panel option.

3. Quick Form Filling

No one likes to fill in endless forms. Now imagine your sales reps who have to do it each time they get in a new lead for your business. Certainly this excessive manual data entry might make them feel irritated. Also, the chunk of time taken to fill in the forms decreases their productivity and diverts them from hardcore selling.

What do we come up with?

Short Lead Creation: On-the-go or in the middle of a trade show where there are chances to meet up with multiple leads – your sales reps can add leads into ConvergeHub database in split seconds.

Create Lead in Quick View provides a miniature version of the Add Lead form.

It keeps form fields to the minimum such as Lead Name, Account Name, Lead Source, Contact Number, Email and Budget. In this way your sales reps fill-in only the required information and your CRM software database looks complete too.

4. Lead Import

Do you still maintain a portion of your leads data in spreadsheets? How many times have you asked your sales reps to transfer that data into your CRM? Many times we believe!

Ever wondered why your salespeople avoid doing so? Is maintaining spreadsheets really that convenient? Nah…They actually dread the fact of manually entering the piles of information into the CRM!

ConvergeHub provides Fast Data Import option. And it is not just about leads but for each module in ConvergeHub that has an Import feature. Just click on Import, choose a file from the computer and there you go – you have all information at once in the CRM system.

Worried about data duplicity? Don’t be. Sales reps can use ConvergeHub smart duplicate checking intelligence to eliminate duplicate entries during data import. Plus, they can share the imported data with the team; customize the imported lists and assign the imported database to existing campaigns.

5. Reports

Let us face it: sales reps always hate creating reports. You know it but still you ask them to do it. Further, even when the reports are created, you really cannot guarantee the authenticity of the facts. All-in-all, report creation is a headache for you and your sales team.

But with ConvergeHub, creating and generating reports becomes a breeze! With the Reports module built in the CRM system, all the information from your CRM database gets precisely reflected in the reports.
